Svend Villsen is our man in Brisbane and the coasts (both Gold and Sunshine) and he has put together this set of steps for you if you want to enhance the authorisations process together with Cost Centres in SAP Business One.

The Requirement (also known as a use case)

A client wanted to restrict users to various Cost Centres and/or Projects or Marketing Document UDFs etc. – we’ve used Cost Centres as our example although the original client required 2 Cost Centre Dimensions and Projects restricted. In addition, they required document value approvals to be enforced, which is done via queries based on some UDFs.

Step 1 - Setup Authorisations

1.    Authorisation Setup

We add Authorisations for each Cost Centre or Project value here:

The client can assign these authorisations as required.

Step 2 - Use

In the scenario Brad can only post a transaction into the QLD Cost Centre:

Once Brad changes to use his QLD Cost Centre, the transaction is added:

3. System Setup

  1. In Administration>System Initialisation>Authorisations>Additional Authorisation Creator – add a title line:
  2. Then add the Cost Centres as below:

4. Final Step – Edit the SBO_SP_TransactionNotification

Enforce these Cost Centres by adding the necessary code to the SBO_SP_TransactionNotification stored procedure ()

Contact your Leverage consultant and they’ll show you how to do it.

Then once the code is added you can go ahead and add one notification per transaction type where you want to restrict based on Cost Centre.

And there you have it – just add SAP Business One and stir well.
